Terms of Reference: Event Management for the UNESCO O3 PLUS Annual Review Meeting 2025 in Harare

UNESCO is seeking the professional services of an event management company to help manage the event with relevant visibility support.

Background

As an expansion of UNESCO鈥檚 flagship programme, Our rights, Our lives, Our future (O3), the O3 PLUS, supports learners in higher and tertiary education institutions to achieve positive outcomes in education, health and gender equality, through access to sexuality education and sexual and reproductive health services. 

Through the generous support of the Governments of Switzerland, Sweden, France and Norway, the O3 PLUS Programme is rolled out in six countries 鈥 Namibia, Kenya, Tanzania, Uganda, Zambia and Zimbabwe. 

In showcasing the impact of the O3 PLUS programme, UNESCO will be hosting an Annual Review Meeting from 05 to 09 May 2025 at the Cresta Hotel Lodge, Harare, bringing together close to 100 government stakeholders, partners, donors and staff from across the six countries.  

As such, UNESCO is seeking the professional services of an event management company to help manage the event with relevant audio-visual and visibility support.  

Methodology and scope of services

The following services are required:  

  • Production of 140 lanyards in two colors (light blue and red) with one-side text Our Rights, Our Lives, Our Future PLUS printed once on both sides (see reference image in the attached document below)
  • Preparation and printing of 140 name tags on eco-friendly hard board material (the list of names will be provided by UNESCO in an excel format)
  • Design, print and installation of, 
    • Branded podium with removable board of logos (see reference image in the attached document below)
    • Curating an exhibition installation at venue (see reference image in the attached document below) 

 

Specifications of the panels: 

  • Exhibition panels must be rented and portable (ability to assemble and dismantle)
  • Floor standing aluminum panel (approximately 3m H x 2m W)
  • Portrait photographs and captions hung with cable suspensions
  • Quantity x 6 panels (2 photos per panel)
  • One sided print
  • Installation to be done on 05 May 2025 (late evening) / uninstallation on 08 May (late evening)  

 

All photographs will be provided by UNESCO. But the company will be responsible to design/edit the photographs as required, print in high quality, transport to the venue, assemble and install a day ahead of the event. The company will also be responsible to uninstall the exhibition panels and hand over the photos and captions to the UNESCO team. Panels to be rented for use during that week and then returned.  

 

Competencies required for the event management company

  • Qualifications and competencies should include at least five years of experience in event management. A detailed company portfolio to be submitted along with CV of the team leader.
  • The company should be officially registered and operational in Africa. The company鈥檚 legal documents are to be submitted. (Company profile, Tax clearance, VAT registration, Certificate of incorporation, CR14 & CR6)
  • Experience in similar event management assignments. Links of at least 3 relevant samples of such works to be provided.
  • Strong communication skills with fluency in written and spoken English.
  • Ability to work with different teams, while meeting tight deadlines.
  • Good understanding of new and evolving production trends and styles.
  • Previous experience working with the UN or other international organizations is desirable. 

Deliverables and Schedule of Payment

Please submit a comprehensive all-inclusive quote in USD along with the company portfolio and links to previous sample work. Payments shall be made against the invoice submitted contingent upon the satisfactory delivery of services: 

Deliverable - Completion of event and handover of all assets 
Deadline - 09 May

Copyrights

UNESCO will retain exclusive use of rights to all photo/video material gathered by the contractor under this contract and any part of the footage or byproducts may only be used with prior permission from UNESCO.
